Privacy Policy

This policy explains how Vision Genesis, LLC (“Vision Genesis,” “Voice to Quote,” “we,” or “us”) handles information when contractors use Voice to Quote.

What we collect

We collect account and business information; billing status from our payment provider; voice recordings, transcripts, photos, job details, estimates, invoices, spreadsheets, scans, and price-catalog information that you submit; product usage and diagnostic information; and support communications. If you later connect QuickBooks Online after that feature becomes available, we process only the accounting records you authorize Intuit to share.

How we use it

We use this information to operate and secure your workspace, transcribe field notes, build and improve your business’s price catalog, generate estimates for your review, provide concierge onboarding and support, process subscriptions, prevent abuse, and improve product reliability. We do not sell personal information. We do not use a customer’s private business content to train our own general-purpose models.

AI and service providers

Voice to Quote uses automated systems to transcribe and structure material you submit. Our current service providers include Fly.io for application hosting; Cloudflare R2 for encrypted backups and stored files; OpenAI and Anthropic commercial APIs for AI processing; Stripe for subscriptions; Resend for email; and Pushover for operational alerts. Intuit will process authorized accounting records only if you later choose to connect QuickBooks Online after that feature becomes available. We send only the content needed for the requested function. Providers process data under their own business-service terms; we do not authorize them to use your content for advertising.

OpenAI and Anthropic state that commercial API inputs and outputs are not used to train their general-purpose models by default. Under standard service settings, provider safety or abuse-monitoring copies may be retained for up to 30 days, with limited security, legal, or policy exceptions. Voice to Quote does not promise zero data retention by a provider unless a separately documented provider configuration says so.

Your customers’ information

You control the customer and job information you enter. You are responsible for having authority to submit it and for providing any notices your customers require. Do not upload Social Security numbers, payment-card numbers, medical records, or other information that is unnecessary for quoting.

Retention, export, and deletion

We keep source documents and workspace records while your account remains active so you can audit pricing and we can support your catalog. If you cancel, you may request an export before deletion. After an authenticated deletion request and the export window, we schedule active-system deletion; residual encrypted backup copies are deleted or age out within 30 days. We may retain limited billing, security, and legal records where required.

Security

We use tenant-scoped access controls, encrypted network connections, restricted administrative access, and backups. No online service can guarantee absolute security. Tell us promptly if you believe your account or a shared estimate link has been compromised.

Your choices and rights

You may ask to access, correct, export, or delete your account information. Depending on where you live, local law may provide additional rights. We will verify the request before acting and will not discriminate against you for exercising a privacy right.

International use and children

The service is operated from the United States. If you use it elsewhere, your information may be processed in the United States. Voice to Quote is a business service and is not directed to children under 18.
